Convert a Capital One PDF statement to QuickBooks

Drop your Capital One PDF below and get the three-column CSV layout QuickBooks accepts for a manual bank upload — date, description and a single signed amount. Your statement never leaves your computer.

or choose a file — nothing is uploaded

Works with most bank statements containing selectable text. Scanned statements and photographs of paper cannot be read.

What you get

The download is a .csv file with these columns, in this order:

  1. Date
  2. Description
  3. Amount

Worth knowing. This page's download is a CSV, and that is the route we recommend. There is now also a .qbo option in the format list, but it omits the Intuit institution id that Web Connect files carry — we are not in Intuit's Web Connect programme, and the only ways to supply that id would misrepresent where the file came from. QuickBooks may refuse it. Use the CSV unless you have a reason not to.

How to download your Capital One statement as a PDF

  1. Sign in to Capital One online banking.
  2. Open the account and find statements or documents.
  3. Choose the statement period you need.
  4. Download the PDF — not a print or a screenshot.

Banking apps rename their menus from time to time, so the exact wording may differ slightly. You are looking for the original PDF statement rather than a printout or a screenshot — a printed copy sometimes loses the table structure the converter reads.

How to import it into QuickBooks

  1. In QuickBooks, go to the banking or transactions area.
  2. Choose the option to upload transactions from a file rather than linking a bank.
  3. Select the downloaded CSV and pick the account it belongs to.
  4. Confirm the three columns are read as Date, Description and Amount.
  5. Finish the import and categorise the transactions.

Accounting packages move their menus around between releases, so these are written to describe what you are looking for rather than an exact path.

Notes for Capital One statements

Capital One prints dates American style, month first. The converter reads the whole document before deciding which way round the dates go, so 03/06 is read as 6 March rather than 3 June — but check a few against your PDF, because that decision is the one thing the balance cross-check cannot verify for you. It has not been checked against a real Capital One file, so use the free preview and the balance cross-check on the results page before unlocking anything.

Why the conversion happens in your browser

A bank statement lists your income, your address, your spending and your account number. Most converters ask you to upload that to their servers and keep it there. This one reads the file locally instead, so there is no copy of your statement anywhere but your own machine — and nothing that can be breached later.

Common questions

Can I get a .qbo file instead?

There is a .qbo export in the format list, but it is OFX under a .qbo name and carries no Intuit institution id, so QuickBooks may refuse it — supplying that id would mean borrowing a real bank's or inventing one. The three-column CSV here needs no such permission and is the route that works today. If your software takes OFX directly, the .ofx export is the real thing and is not gated in any way.

Why is there only one amount column?

QuickBooks' three-column layout expects a single signed amount, so money out is written as a negative number and money in as a positive one.

Is my Capital One statement uploaded to convert it?

No. The PDF is read by JavaScript running in your own browser, and there is no endpoint on this site that can receive it. You can watch your browser's network tab while it converts and see that nothing carrying the file leaves.

How do I know the figures are right before I import them?

Where your Capital One statement prints a running balance, every amount is re-checked against it and you are told how many rows that covered. Anything that could not be read safely is listed separately and left out of the file rather than guessed at. Check both before importing into QuickBooks.

What does it cost?

One page credit converts one page, and five are free on your first visit. If a statement is longer than your balance covers, the opening pages convert free as a preview so you can see whether it reads your layout before paying. Nothing is charged when a conversion fails.
